Dallas Family Dent ("DFD," "we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect when you become a customer or prospective customer, how we use that information, and the choices you have — including specific terms that apply to text messages (SMS) we send you.

1. Who we are

Dallas Family Dent is a paintless dent repair (PDR) business operating in the Dallas–Fort Worth area, primarily serving customers whose vehicles have hail or collision damage covered by automobile insurance claims.

2. Information we collect

We collect only what we need to repair your vehicle, communicate with you, and process the related insurance claim. This includes:

  • Contact information— your name, mobile phone number, email address, and mailing address.
  • Vehicle information— VIN, year, make, model, license plate, mileage, photos of damage.
  • Insurance and claim information— insurance carrier, claim number, adjuster contact details, deductible, coverage details, and related correspondence.
  • Service and payment information— work performed, estimates, invoices, and payment records. We do not store full credit card numbers; card processing is handled by our payment processor.
  • Communications— emails, text messages, voice calls, and notes from in-person conversations between you and DFD staff.

3. How we use your information

  • To assess damage, prepare estimates, and perform repair work on your vehicle.
  • To file, manage, and resolve insurance claims on your behalf.
  • To communicate with you about appointments, repair progress, claim status, payments, and account-related matters.
  • To send one-time login or verification codes when required to access an account or sign a document.
  • To meet legal, accounting, and tax obligations.

We do not sell your personal information, and we do not use your contact information for unrelated marketing.

4. SMS / text messaging program

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support of services you have requested from Dallas Family Dent (for example, the messaging platform that delivers our texts to you) is permitted. All other categories — including text messaging originator opt-in data and consent — are not shared with any third parties.

4.1 How you opt in

You provide express written consent to receive text messages from Dallas Family Dent in person, at the time of intake, by signing or checking a consent box on the DFD field-representative intake app. The consent language presented at intake reads substantially as follows:

"I agree to receive text messages from Dallas Family Dent at the mobile number I provided regarding my appointment, repair status, insurance claim, payments, and account verification codes. Message frequency varies. Message and data rates may apply. Reply HELP for help or STOP to cancel. Consent is not a condition of any purchase."

4.2 Types of messages you may receive

  • Appointment messages— confirmations, reminders, rescheduling, and arrival instructions.
  • Repair and claim status updates— vehicle status, parts/insurance progress, documents needed, completion notices.
  • Payment notifications— balances due, payment receipts, and payment-link delivery.
  • Account verification— one-time login or signing codes when you take an action that requires them.

We do not send promotional or marketing text messages under this program.

4.3 Message frequency, rates, and carriers

Message frequency varies based on the status of your repair and claim. Message and data rates may applyper your mobile carrier's plan. Dallas Family Dent is not responsible for any charges from your wireless carrier. Carriers are not liable for delayed or undelivered messages.

4.4 How to get help (HELP)

4.5 How to opt out (STOP)

You can cancel the SMS service at any time by replying STOP to any message we send. After you send STOP, we will send you a confirmation message and will not send you any additional messages under this program. If you want to re-enroll, sign up the same way you did the first time, or contact us and we will re-enable messages with your consent.

4.6 Privacy of SMS data

Your mobile phone number and SMS opt-in status are used solely to deliver the messages described above and to maintain records of your consent. We do not share, sell, rent, or lease your mobile number or SMS consent data to any third party for their own marketing, promotional, or affiliate purposes. The only third parties that receive your mobile number are the service providers (such as our messaging platform and shop-management system) that we use to send messages and run our business, and they are contractually limited to using it for that purpose.

5. How we share information

We share information only as needed to run the business and serve you:

  • Insurance carriers and adjusters— to file and resolve your claim.
  • Service providers under contract— including our shop-management system (Shopmonkey), our messaging provider (Twilio), our email and document storage providers, our payment processor, and our cloud database provider (Supabase). These providers may only use your information to perform services for us.
  • Legal and regulatory authorities— when required by law, subpoena, court order, or to protect our legal rights.
  • Business transfers— if DFD is acquired or merged, customer records may transfer to the successor entity, subject to this Privacy Policy.

We do not sell your personal information.

6. Data security

We use reasonable administrative, technical, and physical safeguards to protect your information, including encrypted database connections, access controls on internal tools, and limiting access to staff who need the information to do their jobs. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Data retention

We retain your information for as long as we have an active relationship with you and as long as needed to meet legal, accounting, insurance, or warranty obligations. Records related to completed repairs and insurance claims are generally retained for a minimum of seven (7) years to satisfy tax and insurance recordkeeping requirements.

8. Your rights

You may:

  • Request a copy of the personal information we hold about you.
  • Ask us to correct inaccurate information.
  • Ask us to delete information that is no longer needed for an active claim or required by law.
  • Opt out of text messages at any time by replying STOP.

9. Children's privacy

Our services are not directed to children under 13, and we do not knowingly collect personal information from children under 13.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Material changes that affect how we use your information will be communicated to active customers by email or text where practical.
